Terms and Conditions

Booking, Payment and Deposits

 

  1. Credit card payments are subject to a 2% surcharge. Debit cards have no surcharge.

  2. All prices are as published on the website or other prices agreed in writing at the time of confirmation of booking.

  3. Our payment terms for saloon vehicles that seat between 1 and 4 passengers are: 25% non-refundable deposit to secure your booking with the remaining balance due 7 days prior to the travel. For MPV vehicles and larger: 50% non-refundable deposit to secure your booking with the remaining balance due 14 days prior to the travel. Full payment must be made in cash, major credit or debit card. 

  4. The client must allow sufficient time when making a booking to allow for the check-in times required by their airline and for any reasonable delays that may be caused by traffic conditions. Southdown Executive Cars shall not be responsible for any delay caused by their failure to allow enough time to reach the destination or if the passengers are not ready for collection at the booked time.

  5. The total number of passengers to be carried must be confirmed at the time of booking. All children travelling with Southdown Executive Cars must be restrained in a manner appropriate to their age, weight and height.

  6. Any deviations from the pre booked journey may result in additional charges. These will be charged depending on additional mileage and duration of additional travel based on our standard published rates.

  7. Your booking may be subject to additional waiting time and car park charges.

 

Cancellation and Refund Policy

 

  1. If a booking is cancelled by the Customer within 7 days from the start of the period of hire, 50% cancellation charge will apply.

  2. If a booking is cancelled by the Customer within 48 hours from the start of the period of hire, 100% cancellation charge will apply.

  3. If the customer does not appear at the time and place designated as the pickup point, all monies paid will be non-refundable.

 

Terms and Conditions

 

  • Whilst we do our utmost to ensure our drivers are punctual, you will understand that we cannot accept responsibility for delays caused by circumstances out of our control.

  • The driver will drive at safe and sensible speeds in accordance with road conditions, traffic and the legal speed limits.

  • Southdown Executive Cars shall not be held responsible for missed flights or trains nor financial and professional losses due to adverse weather conditions, road closures, road traffic delays or vehicle breakdowns. 

  • Southdown Executive Cars shall be entitled to cancel all services and provide refunds in the event of a declared national emergency, riot, war, fuel shortage, extreme weather, terrorist attack, or other circumstances beyond its control. If the car breaks down during your journey Southdown Executive Cars will endeavour to arrange an alternative car to complete the journey as soon as is practicable but shall not be held responsible for missed flights or trains nor financial and professional losses.

  • Clients are responsible for any damage they cause to the interior and or exterior of a vehicle on hire to them and will be billed accordingly for any repair or valeting required in order to reinstate a vehicle to working order.

  • We may provide subcontracted vehicles occasionally.

  • By supplying your email address you permit Southdown Executive Cars to contact you via email, in return we promise never to supply your email to any third party.

  • If there are any changes or variations including extra mileage to the journeys other than what was agreed at the time of booking, additional waiting time, the client will be charged: waiting time charge is £50.00 per hour.

  • We reserve the right to change your vehicle or chauffeur at any time if necessary.

  • Every effort will be made by Southdown Executive Cars to ensure that our vehicle(s) or Sub-Contractors vehicle(s) arrive on time.

  • Our Chauffeur(s) will travel by the most appropriate route on the day, unless instructed otherwise by the Customer at the time of booking.

  • Southdown Executive Cars vehicle(s) and sub-contracted vehicles are fully insured for passenger and third party claims. However, customer’s properties are carried entirely at their own risk and Southdown Executive Cars shall not be held responsible/liable for any loss/damage to such property.

  • Southdown Executive Cars and its chauffeurs have the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the Chauffeur, the vehicle or any other passenger(s). No refunds of deposits will be given if the journey is terminated part way through the hire and the client will remain liable for full payment.

  • Southdown Executive Cars maintains a strict non-smoking policy in all its vehicles.
